Position: Accountant
Position Overview:
The Accountant supports the Controller and accounting team across core accounting functions, including accounts payable/receivable, reconciliations, month-end close, reporting, and compliance. This role is open to candidates with varying levels of experience (Staff through Senior) and offers the opportunity to grow responsibilities over time. The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced, project-based environment.
Key Responsibilities:
Invoicing and Billing
- Balance time and expenses in the accounting system.
- Process, audit, and correct weekly billing reports.
- Establish contact and review invoicing requirements with new clients.
- Prepare and send customer invoices in accordance with contract terms.
- Review invoices for accuracy prior to delivery.
- Process accounts payable invoices and ensure timely vendor payments.
- Maintain documentation and records of billings and vendor payments.
- Handle customer billing inquiries and support collection follow-up as needed.
- Deposit customer payments and post them in the accounting system.
- Reconcile bank and credit card accounts, ensuring accurate entries.
- Assist in updating billing procedures and recommend improvements to the Controller.
Accounting System (Unanet)
- Enter annual or contract-specific rate changes in a timely manner.
- Create invoice templates for new contracts.
- Record and report time adjustments.
- Create and manage expense vouchers as needed.
- Reconcile PTO/leave balances with HR.
- Enter service orders, contracts, and client-specific information.
- Monitor budgets and audit expenses for contract compliance.
Project Management and Contracts
- Enter client time and expenses into tracking sheets.
- Send notifications for potential budget overruns.
- Update contract master fund and track contracts under 30% remaining funds.
- Attend weekly PM meetings to review funds and contract status.
- Participate in contract kick-off meetings to understand accounting requirements.
- Support compliance reporting for clients and applicable state regulations.
- Set up customer contracts and work orders in the accounting system.
- Assist with scanning/filing contracts and sending notifications as needed.
- Maintain and update contract tracking sheets and supporting documentation.
Qualifications (Experience Level Flexible):
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred (or equivalent experience).
- 0–7+ years of accounting experience (open to entry-level through senior-level candidates).
- Strong proficiency in Microsoft Excel and Word.
- Experience with accounting software systems (Unanet preferred).
- Strong attention to detail, ability to prioritize, and ability to meet deadlines.
- Professional communication skills and willingness to collaborate across departments.
- Ability to take on increasing responsibility over time, depending on experience level.
